Ask AI

Ask questions about your installation’s published knowledge and open the sources behind an answer. Ask AI is optional: your Administrator chooses whether it is available and which published content types it can use.

Ask a question

  1. Enter a question in Search Fieldbook or Ask AI.
  2. Select Ask AI beneath the search results. If your question ends with ?, pressing Enter in the shared field also sends it to Ask AI.
  3. Read the answer and open its numbered citations or source list to check the underlying material.
  4. Use Ask a follow-up to continue the conversation.

Ask a question tied to the installation’s material, such as “What evidence do I need to submit an expense?” A focused follow-up—“What if the receipt is missing?”—can use the recent conversation to understand the topic.

You can also select the Ask AI tab and enter a question in its composer. Questions can be up to 2,000 characters.

Where answers come from

For each question, Fieldbook searches the enabled types of published content and supplies relevant text to the configured AI service. Answers are intended to use that evidence and cite the sources they rely on.

The available sources are published Docs, Updates, and Course prose, including lessons. An Administrator can enable a subset of those types. For example, an installation may allow answers from Docs while leaving Updates and Courses out of Ask AI. Those other items can still appear in ordinary Search.

Ask AI does not use:

  • Unpublished drafts or quiz answer keys.
  • People records, personal course progress, assignments, or reporting data.
  • The visual contents of images or the audio in a video.
  • Web search, file uploads, or tools connected through MCP.

Text written in an article or lesson—such as a transcript—is eligible as published prose. Ask AI does not automatically transcribe the media itself.

If the published material does not support an answer, Ask AI is instructed to say so. A missing answer can mean that the information is unpublished, outside the enabled source types, absent from the library, or difficult to locate from the question. Try a more specific question or Search, then open the relevant source directly.

Check the sources

Select a numbered citation in an answer or expand its sources list. A citation opens the published article or Course lesson used for that answer.

Check that the source supports the claim you intend to use. AI can make mistakes even when it cites a real item. A citation identifies supporting material; it is not proof that every conclusion or instruction in the answer is correct.

If Fieldbook reports that content or Ask AI settings changed, ask again for a current answer. A response marked Response incomplete has not finished successfully; do not treat it as a checked, complete answer.

Continue or start over

The conversation stays available when you close the search panel and reopen it during the current page session. Opening a cited source does not by itself start a new conversation.

Follow-ups use a limited amount of recent conversation, so restate an important detail when a discussion grows long. The visible transcript is not a promise that every earlier message is included in the next answer.

Select New conversation to clear the current exchange and start with a new topic. Reloading the page or signing out also clears the chat. Fieldbook does not provide a saved conversation history to reopen later.

Questions, recent conversation, and selected published passages are sent to the AI service configured for the installation. Its data handling is part of your operator’s provider configuration and privacy notice; clearing the chat in Fieldbook is not a request to erase data from an external service.

When Ask AI is unavailable

Use Retry answer after a temporary failure, or switch to Search. If the message asks you to sign in or reload because your session changed, do that before asking again.

Ask AI follows the installation’s reading access rules. It may be available to guests on a public installation when enabled. The browser-local demo does not make real AI calls and states that the feature is unavailable there.

Operators connect the model service through Operator configuration. Administrators choose models, published sources, answer guidance, and availability through Administrator configuration. These settings are separate from AI clients and MCP, which lets an external client use approved Fieldbook tools on someone’s behalf.
