Images and video

Add images and videos to Docs, Updates, and Course lessons from a file or supported link. Describe images, provide a usable alternative to video, and wait for each upload to finish before publishing.

Contributors and Administrators can upload media in an installed Fieldbook. Supported file types are:

MediaUpload formats
ImagesJPG, PNG, WebP, GIF
VideoMP4, WebM

The installation and its storage service determine file-size limits. If a file is rejected for size, use a smaller file or ask the operator to check the configured limits. Private media and upload limits explains those settings.

A supported external video can remain on its existing host. Fieldbook accepts HTTPS YouTube, Vimeo, and Loom links, plus HTTPS links directly to MP4 or WebM files. A link to an ordinary webpage containing a video is not necessarily a supported video link.

External media retains its host’s access rules and privacy behavior. Check that the intended readers can open or play it; being admitted to Fieldbook does not grant access to a private video on another service.

Insert an image

  1. Place the cursor where the image belongs and open Commands → Image.
  2. Under Upload, enter Image alternative text that describes what matters in the image.
  3. Select Choose image and choose a supported file.
  4. Wait for the upload to finish and the image to appear in the writing area.

To use an externally hosted image, select the chooser’s Link tab, enter an HTTPS Image URL, and select Insert image. Then open the image’s settings to replace the generic alternative text with a useful description.

Alternative text should convey the image’s purpose, not its filename. For a screenshot, describe the relevant control or result. Keep essential instructions in the surrounding text so the image supports the explanation.

Replace or describe an existing image

Open the image’s block actions and choose Edit image to open Image settings. Use Replace from device to upload a replacement, or change Image URL. Review Alternative text, optionally add a Title, then select Save image.

The optional image title is not a substitute for alternative text or an explanatory paragraph. If readers need a visible caption, write it beside the image in the body.

Insert a video

For a file, place the cursor and select Commands → Upload video, then Choose video. Wait for the upload and verification to finish.

For an external link:

  1. Select Commands → Embed video link.
  2. Enter the supported HTTPS Video URL.
  3. Select Insert video and check the player.

To change an existing video link, use its block actions to Edit video, replace Video URL, and select Save video. To replace it with a new file from your device, insert the replacement with Upload video, check it, then remove the old video block.

Uploaded and direct-file videos use Fieldbook’s player, with playback controls and a Speed selector. If playback fails, Retry video attempts to load the video again. Embedded services provide their own player controls.

Provide captions and a text alternative

Fieldbook does not offer a separate subtitle-file attachment control. Uploading a video does not automatically transcribe it or add captions, and VTT and SRT files are not supported media uploads.

Choose a supported way to make the information available:

  • Use a supported video host with captions configured on that service, then check the embedded player.
  • Upload a video with open captions already included in the picture.
  • Add a written transcript or equivalent instructions in the article or lesson.

A transcript can also make a procedure easier to scan and search. Include relevant on-screen actions and outcomes, not only spoken words, when those visuals carry essential meaning.

Wait for upload completion and recover failures

Keep the editor open until the upload finishes and the draft shows Saved. If an upload is interrupted, follow the error message: check your connection, wait if the service is temporarily unavailable, then choose the file again. Retrying a failed upload is different from retrying a failed draft save.

If verification fails, Fieldbook reports that no media was inserted. Check the writing area before retrying so you can confirm the expected result. The editor covers preserving open work when the draft itself cannot save.

After publishing, open the reader view and test the image or video at the point where it appears. Check the external service’s captions, the text alternative, and playback as the intended audience. A working editor preview alone does not establish that every reader can use the media.
