Access and registration
Fieldbook controls browsing and account registration separately. An installation can let guests read published content while limiting accounts, or require sign-in while allowing new people to register.
Choose who can enter
An administrator opens Account menu → Manage organization → Access. Set both controls, then select Save settings.

For an internal installation with an approved roster, choose Signed-in members only and Existing members only. Requiring sign-in alone does not restrict registration to your organization: with registration open, a new verified Google account can join as a Learner.
For a public knowledge library with a controlled learner roster, choose Anyone — accounts are optional and Existing members only. Visitors can read without an account; only admitted people can save progress to an account.
These controls apply to the installation. Everyone admitted can read all published Updates, Docs, and Courses. Teams and learning groups select relevant material and assigned learning; they do not hide individual content from other readers.
Bring people in with Google
Google is the sign-in provider in the documented installation. A visitor selects Continue with Google and uses their verified Google account. Provider credentials and the initial administrator are configured by the operator during Install Fieldbook.
When registration is open, a new person receives a Learner account. An administrator can later change their role, reporting team, and learning groups in People.
When registration is closed, preregister a person before their first sign-in:
- In People, select Pre-register user.
- Enter their name and the Google email they will use. Choose their access role and memberships.
- Save the entry, then give the person your installation's address.
- Have them sign in with the matching Google account.
Fieldbook sends no invitation email. First sign-in links the verified identity to the existing roster record, preserving the details and learning already associated with it. Preregistration itself does not give someone an authenticated session. See People for the complete roster procedure.
Closing registration does not remove existing accounts. Deactivation prevents account access even when registration is open. If someone sees that their account is not allowed to join, check the Google email, preregistration, and active status before changing the installation-wide admission rules.
Recommend content to public guests
When public browsing is enabled, Access also shows Guest recommendations.
- Choose a Learning group for guests, or select Create guest group to create one.
- Select Save settings to apply the selection. Creating the group and saving its use for guests are separate steps.
- In Groups, add the courses, curricula, and relevant updates that visitors should find in For you.
The selected group's learning and Update selections personalize guest browsing. They do not restrict the public library, create guest accounts, or add signed-in people to that group. Selecting None — no personalized recommendations. leaves the public library available without a guest audience.
What visitors retain
Public guests can read, take Courses, and give feedback. Their course progress stays in that browser. Signing in enables account progress across devices, with a separate choice to save eligible browser progress to the account; see Take a course.
Your installation name, welcome description, and published privacy link are available before sign-in even when browsing is private. Privacy notice explains how to maintain that notice.
