Privacy notice

Publish a notice that describes your installation's handling of personal information. Fieldbook can host the notice or link to an existing policy, with a saved draft separate from the version visitors see.

Fieldbook can host your organization's privacy notice or link to an existing policy. This feature is optional.

Choose a policy location

An administrator opens Account menu → Manage organization → Privacy. Under Policy location, choose Write a policy in Fieldbook or Link to an existing policy.

  • Write a policy in Fieldbook hosts the notice at your installation's /privacy address.
  • Link to an existing policy uses the URL you provide. Visiting /privacy redirects to that URL.

Save and publish

For a policy hosted in Fieldbook:

  1. Enter the Operator name.
  2. Add a Privacy contact email (optional), an HTTPS Contact page URL (optional), or both. At least one valid contact method is required.
  3. Write the notice in Privacy policy draft. Use the text you want to publish for your installation.
  4. Select Save settings to keep the draft. When it is ready, select Publish privacy policy and confirm. Publishing also saves the current settings.

For an existing policy, select Link to an existing policy, enter its HTTPS Privacy policy URL, save the settings, then publish.

Saving a draft does not change the notice visitors see. If you edit a published notice, publish again to make the revision visible.

What visitors see

The published privacy link appears on account pages and in the account menu, including before sign-in on private installations. A Fieldbook-hosted notice shows the operator name, contact links, publication date, and policy text. An external link takes visitors to the policy you provided.

After publishing, open the link while signed out to check the visitor view. Administrators can see the publication date under Privacy. Identity → Privacy-policy link shows the same published destination; update it through Privacy.
