Delete and restore records

Deleted content and people have a 30-day recovery window. Content disappears from the published library immediately; deleted people lose access. Restoration requires a review before content or accounts become active again.

Choose the action that fits

These actions have different purposes:

Unpublishing preserves the draft and learning history. Deactivation preserves the account and history without starting a deletion timer. Use these when you intend to keep the record; The editor and People explain their controls.

Administrators can delete and restore content and people. Contributors can delete and restore content only, including content created by other authors. A contributor's Recently deleted view contains content, not deleted people.

Delete content or people

  1. Open Account menu → Manage organization, or Manage content as a Contributor.
  2. In Content or People, select the records and choose Delete selected. The row's actions also support deleting an individual record.
  3. Review the selected records and the stated consequences. Deleting a manager leaves their managed teams without a manager; it does not delete those teams or their remaining members.
  4. Acknowledge the permanent-deletion consequence and confirm the action.
  5. Check the result. If a batch contains failures, inspect the named records and reasons before retrying.

Account safeguards prevent removing protected administrator access. A deleted person's access ends and their team, direct group memberships, and manager responsibilities are removed. Content is unpublished immediately. The records remain recoverable only until their listed recovery deadline.

Restore within the recovery window

  1. Open Recently deleted under Organization Settings.
  2. Find the record. Administrators can filter Content or Users; the table shows when it was deleted, who deleted it, and its Permanent deletion date.
  3. Select the recoverable record and choose Restore selected.
  4. Review the restored record in Content or People before making it available again.

Restoration does not resume the previous public or access state:

  • Content returns as a draft. Review it, its placement, and any learning relationships, then publish separately when ready. Restoration itself does not return it to the reader library.
  • People return as inactive Learners. Review their role and memberships, assign their reporting team and groups as appropriate, and reactivate them. Any manager responsibility must be assigned again explicitly.

Existing learning history remains during the recovery window. Review assignment coverage after restoration: restoring a person does not restore the memberships that supplied their assignments.

When recovery ends

Once the 30-day recovery window expires, Fieldbook disables restoration even if the scheduled cleanup has not yet removed the record. Awaiting scheduled cleanup, Permanent deletion in progress, or a delayed-deletion message does not extend the recovery window.

Successful permanent cleanup erases the deleted records and associated learning history, quiz attempts, and feedback. Cleanup can fail or remain pending; an expired recovery date alone does not prove the records were erased. Teams, learning groups, and curricula use their own removal controls and consequences. They do not appear in this recovery list. Review Reporting teams, Learning groups, or Curricula before removing them.
